UPDIG Digital Image Submission Guidelines

Submission Guidelines text generator (version 0.8 beta)

UPDIG provides the following form to assist you in creating your own Digital Image Submission Guidelines. In the left column are a series of options you can choose from, along with advice about each choice. In the right column is the text of the Submission Guidelines document. As you change each of the options in the left column, the text in the right column will be updated to reflect your selections.

When you have made all the selections you want, you may press the button at the bottom of the page to open a new window containing a clean copy of your Submission Guidelines text. It has been reformatted for easy cut-and-paste into your word processor.

The document you create here is only a starting point — a minimal set of Guidelines. You will probably need to add further information that is relevant to your industry and your suppliers. You may also want to add language to indicate that certain parts of the Guidelines are mandatory and other parts are optional but recommended.

The form below is very much a "work in progress" that we expect to grow and improve over time. The UPDIG consortium welcomes your suggestions for material to include in our next revision; please communicate with the UPDIG chairperson.

Image Capture Specifications

Capture Type:

If unsure, specify 'RAW'. More info.

Image capture format:
We make no recommendation regarding your camera's capture format.

File Naming

Filenaming:

If unsure, select 'Use your file names.' More info.

Describe your filenaming scheme. Useful details include preferred character set, maximum length of names, specific characters to avoid. If you have a very specific convention for names, you may wish to include an example or two.

File naming:
We have no recommendation for naming files you submit.
Our server will automatically rename your file with a sequence number. We advise you to place your own image identifier in the IPTC 'Document Title' field. (In Photoshop, use the File Info command.)

Delivery Format

Resolution Specifications:

Screen ruling

For printed output, the optimum resolution for an image depends on the halftone screen of the press or other output device. More info.

Image resolution: We print with halftone screens of
150
lines per
inch
. Therefore, we request that submitted images have a resolution between
190
and
300
pixels per
inch
with the image at the actual height and width settings that will be used in print.

Color Settings

Specify the color settings of the delivered file. (These options are not applicable for DNG files.)

Bit Depth:

If unsure, choose '8 bits per channel'. This option is not applicable for JPEG files. More info.

Color space:

If unsure, choose 'sRGB IEC61966-2.1'. More info.

Profile Status:

If unsure, choose 'Embed profile'. More info

Please convert the file to
your preferred

Other Settings

Sharpening:

If unsure, choose 'Capture sharpening only'. More info.

Metadata: Metadata within images (such as caption, document title, photographer credit, etc.) is not required.

Specify if model or property releases are required. Note the option to embed release info into the metadata.

If releases are required, please include details such as which type of release and which to use (including where to find it), in which field to embed the metadata, whether the photographer needs to send in paper copies or whether a digital facsimile is sufficient, etc. More info.

Although model releases and property releases are not legally required for editorial use of images, we encourage you to obtain releases when you can, and to keep them permanently.

  • address for postal or courier delivery
  • login info for FTP uploads
  • URL for web uploads
